Speaker Guidelines / Logistics 

All of the information you need before your speaking session in June. 

Registration & Badge

As a speaker, you will be automatically registered for the show. You should receive your badge via email and you will also be able to collect your badge on arrival from any of the registration desks.

Exhibition Opening Times

Tuesday 20th June 2016: 10:00 – 17:00 Wednesday 21st June 2016: 10:00 – 17:00 Thursday 22nd June 2016: 10:00 – 16:00.

PowerPoint Presentation Deadline

 Your PowerPoint presentation must be sent in advance to                                                         no later than Monday 12th June. Please let Carina know as soon as possible if you are unable to meet this deadline. Those speaking on a panel session will not need to prepare a formal presentation or PowerPoint, it will be an informal discussion, facilitated by the chairperson/moderator. If you are an individual presenter please use PowerPoint in a 16:9 (widescreen) aspect ratio. Please also remember to bring your PowerPoint presentation on a memory stick as a backup, should there be any technical problems on the day.

Seminar Theatres

 When you arrive onsite, please make your way to your theatre, there will be a hostess in the seminar theatre welcoming speakers and assisting with any questions as well as an AV technician. Please arrive at least 30 minutes before your session is due to start (please take into consideration the journey time from the entrance to the show and the theatres) This is essential so we can run through procedures and provide you with a microphone etc. We are running to a tight schedule so please ensure you only use your allotted time.

I am pleased to announce speakers will have access to a IFSEC Membership/Speaker Lounge in IFSEC. This can be accessed via entrances S7 and S8. Speakers are not required to go to this lounge and on arrival go straight to their theatre. However, speakers are welcome to use the lounge throughout the day and should go there if they have any questions – there will be a hostess who can assist with any issues.

There will be a member of staff at the theatre with a roaming microphone should you like to include a Q&A section to your presentation.

There will be an AV technician available to help on the day. There will be a lectern on the stage with a microphone attached or the technician will be able to provide you with a handheld microphone if you wish. If you are bringing your own laptop, please notify Carina Nobrega as soon as
possible and ensure you bring the relevant connection cables for a HDMI connection. If you require any extra AV equipment please send your requirements to                                                             as soon as possible.

Theatre's Audience Capacity

 

Video Content & Internet

 If you are including video content within your presentation you will need to provide the video file separately to the presentation. The technician can re-embed this for you on the day if there are any issues when transporting the file (please bring the video file on a USB stick along with your presentation).
The only internet available within the hall is the ExCeL Visitor one. This is not reliable enough to run an online presentation/email over your presentation.

Post Show

 After the event we will make your slides available online. These will be converted into a protected read-only PDF file. If you would rather your slides are not shared after the event or would rather an alternative version is uploaded then please provide written confirmation before the event to carina.nobrega@ubm.com

Carina will ask you to complete an online 5 minute survey about your experience speaking at the show – we use these results to continue improving our speaker communications and would really appreciate your input.

PowerPoint Tips

 Clear fonts & colour - Text no smaller than 20pt / No more than 8 bullet points per slide - Avoid lots of text on one slide - Make sure you use pictures and diagrams - Please keep your presentations to the allotted time

Travel & Accommodation 

 The closest station is Prince Regent on the Docklands Light Railway (DLR) - Quickest route to ExCeL London is by taking the Jubilee tube line and changing at Canning Town for the DLR – Trains to the venue normally depart from platform 3 heading in the direction of Beckton.
